Positions (2) are located in our Holmdel, NJ and Silver Spring, Maryland offices and responsible for the service of accounts assigned to them and delivering prompt, accurate, and courteous service to clients, producers, and insurance company personnel. This includes providing the necessary support to the overall production and objectives of the agency.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Keep up to date on all items in the JGS Insurance Workflow and Procedures Manual and follow these procedures where applicable.
- Receive, document and process all insured’s requests for service in a timely manner.
- Review all incoming mail for your accounts and process it daily.
- Manage, set up and maintain account files per agency procedures in AMS360 and ImageRight.
- Proactively manage the renewal book through a pre-renewal strategy plan to include initiation of pre-renewal meeting with Sales Producer and/or clients, develop executive summary and prepare renewal questionnaire.
- Prepare client meeting agendas, document and confirm meeting outcome and/or any other relevant communications with client via meeting minutes or similar confirming memorandum.
- Service Habitational accounts and perform underwriting functions to eliminate gaps in coverage and identify exposures from an agency E&O perspective and make appropriate recommendations.
- Review assigned renewals with Sales Producer and/or Client Relations Manager to determine renewal strategy.
- Order loss runs for accounts in a timely manner.
- Obtain all necessary renewal information from the customer when starting the renewal process.
- Submit renewal applications to carriers. When possible, perform on-line rating to obtain premium quotations, in lieu of submitting the application to the carrier.
- Obtain competitive quotations for renewal when appropriate or directed by the Sales Producer and monitor status of all quotes making sure due date will be met.
- Negotiate pricing, coverage, policy terms and conditions with the carriers. Review all quotations with recommendations as to the best options for price, coverage and risk alternatives.
- Prepare a spreadsheet analysis of quotations received.
- Issue Binder and Invoice.
- Check accuracy and completeness of all coverages and premium transactions issued by insurance companies (i.e.: renewals and endorsements; new business will be completed by Marketing).
- Review and distribute all Audits received from insurance companies.
- Help Assistant Account Managers in the preparation and processing of cancellations when required, as well as initiate and prescreen endorsement requests when needed.
- Prepare Master Certificate, ID cards, Binders and other documents as needed and ensure information is entered into the system.
- Assist in training other employees in the department as directed by management.
- Maintain positive relationships with appropriate company representatives through proper contacts and effective communication.
- Periodically meet in person with clients to discuss and handle their insurance needs and when required present renewal proposals.
- Provide assistance to Sales Producers when necessary for response to technical issues or in the preparation of presentations for renewal accounts.
- Participate in the discussion and review of the current market situation as it pertains to specific accounts, either new or renewal.
- Keep Sales Producers fully informed of all important activities on their accounts including unpaid premiums, audits, disputes and follow up with appropriate actions in accordance with established agency procedures.
- Assist other agency departments in securing and/or providing information necessary to issue appropriate policies for which we have a mutual client.
- Work with JGS Claims and Loss Control in providing coverage information.
- Assist all other departments and producers in cross selling and account rounding.
- Maintain knowledge of current marketplace and new capabilities for providing risk alternatives. This also includes keeping the department up to date on all carrier submission requirements, changes in on-line rating programs and updating system with current rates, etc.
- Adhere to all ethical and State Insurance Department guidelines and procedures.
- Participate in seminars and other training to maintain required licenses and for knowledge and skill development.
- Perform other duties as assigned by management.
SKILLS & EXPERIENCE
- Education: college degree preferred; High school diploma or equivalent required
- Valid Maryland Property & Casualty Producer license required
- Minimum 5 years’ experience with insurance Account Management – Habitational a plus
- Extensive knowledge of Habitational Insurance and Products is essential
- Proficiency in Agency Management Systems (preferably AMS360 and ImageRight) as well as MS Office (Word, Excel, Power Point, Outlook)
- Excellent presentation, listening and communication skills
- Good organizational skills, prioritizing and attention to detail
- Ability to handle work load and meet agency growth and retention goals
- Exceptional interpersonal skills with clients, management and co-workers
- Strong customer service skills to assist customers courteously and cooperatively
- Competence to work independently and carry out assignments to successful completion with minimum instruction in a timely manner
- Professional designation a plus
